Hand over a subprocess to another team

You can hand over an unfinished subprocess to another team, for example when your team is ending its day and another team in a different time zone can carry the work forward.

The subprocess stays a single shared item. It appears on both teams' dashboards, and any update either team makes (a status change, a comment, an attachment) shows for both. Its full history stays intact throughout.

A subprocess can be handed over as many times as needed. For example, an APAC team can pass it to a Europe team, which can later pass it to a US team, and so on until the work is done.

Hand over a subprocess

  1. Right-click the subprocess you want to hand over.

  2. Select Hand over.

  3. Choose the team you want to send it to.

  4. Add a note about the handover, if you'd like. This gets saved to the subprocess's history along with your name.

  5. Confirm the handover.


What happens after you hand it over

The receiving team gets an email letting them know where the subprocess came from, and it shows up on their dashboard right away. No refresh needed.

The subprocess is marked with a FROM: [team name] badge on the receiving team's dashboard, and a TO: [team name] badge on the sending team's dashboard, so it's easy to spot at a glance.


The receiving team can do everything they'd normally do with the subprocess: update its status, request verification, approve or reject it, snooze it, comment, add attachments, and assign teammates. The one thing they can't do is edit the underlying process setup. That stays with the owning team.

Track handovers in the history

Every handover is recorded in the subprocess's history, including which team it moved from and to, who made the change, and any note that was added. Open the subprocess and go to the History tab to see the full record.

Find handed-over subprocesses

To focus on handed-over subprocesses, add the handover filter to your dashboard. Edit your dashboard and drag the filter into your quick settings, then use it to switch between Show all, Received, and Handed over.

Good to know

  • You can't hand over a subprocess once it has expired.

  • Handing a subprocess over doesn't change its deadline or expiration.

  • If your team only received the subprocess through a handover (rather than owning it) and you pass it along again, it'll disappear from your dashboard. Only the original owning team and the current holder can see a subprocess at any given time.
